As a Construction Administrative Coordinator, you will be responsible for coordinating formal and informal solicitations, managing contracts and payments, and assisting with project assignments. You will work closely with construction administration staff, architectural consultants, and various stakeholders to ensure smooth project execution and compliance with federal, state, and local requirements.

Responsibilities:

  • Coordinate bids and requests for proposals for development projects, ensuring compliance with solicitation requirements.
  • Provide information and assistance to prospective bidders and the public regarding the solicitation process, interpreting bids, and making award recommendations.
  • Create, review, and approve contracts, purchase orders, payments, change orders, and amendments, ensuring project completion and proper close-out documentation.
  • Oversee procurement activities, processing contract payments, change orders, and amendments, and monitor construction contracts.
  • Assist in identifying modernization needs, coordinating architectural/engineering consultants, and managing project timelines.
  • Perform general office duties, including filing, scanning, answering phones, and mail processing.
  • Other duties as assigned, contributing to the department’s project completion goals.

Qualifications:

  • Bachelor’s Degree in public administration, business, or a related field (preferred).
  • 2-4 years of work experience in the construction or development industry (preferred).
  • Valid Wisconsin Driver’s License with an insurable driving record.
  • Proficiency in Microsoft Office products, including Excel and Word, is required.
  • Strong organizational skills with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Ability to work effectively under pressure in a fast-paced environment.
  • Excellent verbal and written communication skills, with a professional demeanor.
  • General understanding of basic accounting principles.
